Issue invoices in Creator mode
9 min read
The full Creator-mode workflow — sidebar layout, the Outbound list, every document type, the new-invoice form, customers, templates, credit notes, and the SHAAM/ITA status column.
Switching into Creator mode
Creator mode (sometimes labelled Generator) is for issuing your own invoices. Use the mode switcher in the top-right of the shell to flip between Expense and Creator. The sidebar swaps to a teal-accented Creator layout. Creator-mode data (your customers, your templates, your issued invoices) is separate from Expense-mode data even though both live under the same account.
The Creator sidebar
The Creator sidebar exposes: • Home (/creator) — recent activity and quick links. • Invoices (/outbound) — the list of every issued invoice. • New Invoice (/outbound/new) — the create form. • Customers (/customers) — your client directory. • Template (/creator/template) — branding (logo, accent color, language). • Business Details (/creator/business-details) — legal info shown on every PDF; saving this form for the first time is what registers your business with Involoops. • ITA Integration (/settings/ita-integration) — Israeli Tax Authority allocation; admin-only. • Help (/tutorials/ita-integration) — the ITA-specific tutorial. • API Keys (/settings/api-keys) — programmatic access. • Developers (/developers) — REST API docs.
The Outbound list
Open Invoices in the sidebar (or visit /outbound). The page header shows "Your Invoices" and a description, plus a Create dropdown on the right. The table below lists every issued invoice with these columns: • Invoice # — formatted number (monospace). • Type — badge: Tax Invoice, Tax Invoice + Receipt, Receipt, or Credit Note. • Customer — the recipient's name. • Date — issue date. • Total — right-aligned, in the invoice currency. • Status — Draft, Sent, Approved, Rejected, or Archived. • SHAAM Status — green allocation number if approved by ITA, yellow if pending, red if rejected. Empty for non-Israeli deployments. • View — opens the invoice detail page.
The Create dropdown
The dropdown next to the title offers four entry points: • New Tax Invoice — /outbound/new. • New Tax Invoice + Receipt — /outbound/new?type=TAX_INVOICE_RECEIPT. • New Receipt — /outbound/new?type=RECEIPT. • New Credit Invoice — /outbound/new-credit (a guided two-step flow that needs an existing invoice to credit against). If the list is empty, an inline empty state shows a single "Create Invoice" button instead.
The New Invoice form
/outbound/new is split into a form (left) and a live preview (right): • Document type selector at the top. • Customer — pick from your customer list or create one inline. • Item lines — product/service description, quantity, unit price, VAT %. • Invoice date and due date. • Notes and payment terms. • Currency picker. The preview pane re-renders as you type — same layout that the customer will see in the PDF, including your logo, accent color, and language.
Customers
/customers lists everyone you've billed. Each row shows name, email, default currency, and the number of invoices issued. Click a customer to edit name, contact details, billing address, tax ID, default language, and notes shown on every invoice. Deleting a customer that still has issued invoices is blocked — archive them instead from the customer detail page.
Template
/creator/template controls branding shared across every issued PDF: • Logo upload — PNG or SVG, shown top-left of the invoice. • Accent color picker — applied to headings and totals. • Template selection — choose from the bundled designs. • Language toggle — Hebrew or English; controls labels ("Tax Invoice", "Subtotal", etc.) on the PDF independently of your UI language.
Credit notes
Credit notes have to reference an existing invoice. Click New Credit Invoice in the Create dropdown to start /outbound/new-credit. The flow has two steps: 1. Select a customer — only customers with creditable invoices are listed; each row shows the count of available invoices. 2. Select the invoice to credit — the list shows formatted number, type, date, allocation #, remaining balance, and total. Click one to open the credit form. The credit form mirrors the new-invoice form but pre-fills lines from the source invoice, so you can credit the whole thing or remove lines for a partial credit.
SHAAM / ITA status (Israel)
Israeli deployments connect to the ITA via the SHAAM allocation flow. The status column on the Outbound list reflects the latest server response per invoice: • Green number — approved; the number is the allocation Israel requires on the printed invoice. • Yellow — request submitted, awaiting ITA approval. • Red — rejected; open the invoice detail to see the reason and resubmit. For full setup steps see the ITA Integration tutorial.
