Find anything in the Invoices list

5 min read

Tabs, filters, every column, sorting, search, and the buttons that take you to a file preview or the full invoice detail.

Where the list lives

Open Invoices from the top nav. The page header shows a FileText icon, the page title, and a subtitle. This is the canonical view of every approved (and processing/rejected) invoice in your account — Pending entries don't appear here until you approve them.

Type tabs

Three tabs at the top of the table switch the dataset: • All — both income and expense invoices. • Expenses — invoices you received from vendors. • Income — invoices you issued, plus any incoming invoices flagged as income (vendors with the income-source toggle on).

Filters and search

Above the table: • Vendor dropdown — narrows the list to a single supplier. • Status dropdown — All, Approved, Rejected, Pending, Processing. • Month dropdown — pick a single calendar month or "All". • Search box — matches invoice number, vendor name, description, and free-text fields. Filters combine (AND), so picking a vendor and a month shows only that vendor's invoices in that month.

Columns

Click a column header to sort; click again to flip the direction. Columns: • Date — invoice date as written on the document. • Vendor — clickable, jumps to the vendor detail page. • Amount — total including VAT. • VAT — the VAT line for that invoice. • Currency — a small badge. • Invoice # — a copy icon next to the number copies it; if the file exists, the number is linked to the source PDF preview in a new tab. • Uploaded — the month the invoice entered InvoLoops, useful for reconciling against a bookkeeper. • Status — colored badge: Approved (green), Rejected (red), Pending (orange), Processing (gray).

Row actions

Click anywhere on a row (outside the vendor link or invoice-number link) to open the invoice detail page in the same tab. The detail page lets you edit, re-extract, approve, reject, and delete. Several status badges are themselves links — for instance, a Pending badge takes you to that invoice inside the Pending queue.
