Getting started

7 min read

Create your account, learn the layout of every nav item, switch between Expense and Creator modes, and set the language and currency before you upload your first file.

What InvoLoops does

InvoLoops handles two sides of your bookkeeping in one app. The Expense (inbound) side captures invoices you receive — by upload, drag-and-drop, or email forwarding — extracts vendor, date, amount, VAT and currency with AI, and stores everything in a searchable, charted ledger. The Creator (outbound) side issues your own invoices — Tax Invoices, Receipts, Tax Invoice + Receipt, and Credit Notes — with templates, customers, and (in Israel) ITA / SHAAM allocation numbers.

Create your account

From the public site, click Register and either: • Sign up with email and password — you'll receive a verification link by email and must open it before you can use every feature. • Continue with Google — only available if the deployment has Google OAuth configured. The first Google sign-in creates the account automatically. Forgot your password? Use the Forgot password link on the login page; we email a reset link valid for a short window.

The Expense shell — top nav

Once signed in, you land in the Expense shell. The header contains, in order: • Dashboard — KPI cards, charts, and recent invoices • Income — revenue analytics (income-typed invoices only) • Profit — revenue minus expenses with trend charts • Invoices — the full searchable list • Upload — drop zone and email forwarding address • Pending — approval queue with a numeric badge for unapproved items • Duplicates — groups of likely-duplicate uploads • Vendors — the supplier list and per-vendor settings • Settings — account, security, billing, and integrations • Contact — support form The top-right avatar opens the user menu: switch account, Tutorials, language, and Sign out.

Expense mode vs Creator mode

InvoLoops has two distinct workspaces. Use the mode switcher (top-right of the shell) to move between them — your data is separate per side but lives under the same account. • Expense mode tracks invoices you receive. This is what most users see by default. • Creator mode (sometimes called Generator) issues invoices to your customers. Its sidebar exposes: Home, Invoices, New Invoice, Customers, Template, Business Details, ITA Integration, Help, API Keys, Developers. Open the Outbound Invoicing tutorial for a full Creator-side walkthrough.

Set company details, language and currency

Open Settings → General to fill in: • Account name and email — used in confirmation messages and as the sender name on outbound mail. • Display currency — the currency the dashboard converts everything to (FX rates apply automatically). • Business Entity card — opens a dedicated form where you set the legal name, tax ID, address and registration details that appear on every issued invoice. Language is controlled by the language switcher (avatar menu). InvoLoops ships English and Hebrew; the choice is stored in the NEXT_LOCALE cookie and applies on every page including PDFs you generate.

Where to go next

Three good first stops: • Upload your first invoice — drop a PDF on the Upload page and watch the extraction. • Tour the Dashboard — once you have a few invoices the cards and charts come alive. • Configure Vendors — give recurring suppliers consistent names so reports stay clean.
